Submitting Your Profile for Review

How to complete your Profile listing and submit it for approval—including required fields, review timelines, and what to expect after submission.

Before your Profile listing goes live on Heritage Web and community directories, our team reviews it to ensure accuracy and professionalism. We verify licenses against official databases, check that your Profile photo is a personal headshot (not a logo), and assign your listing to appropriate publications based on your Industries, Languages, and Community Connections.

Step-by-Step Instructions

Step 2: Review Your Profile

  1. Go through each tab (Profile Details, Name & Bio, Locations) to verify your information is accurate

  2. Click Preview Profile in the header area to see how your listing will appear publicly (shows HeritageWeb.com/English version)

Step 3: Submit for Review

  1. Look for the Publish Draft button in the header area at the top of your Edit Profile page

  2. If you have unsaved changes, you'll see "Unpublished changes in draft" indicator

  3. Click Publish Draft to submit

  4. Your listing status changes to Pending Review

You'll receive an email notification when your listing is approved or if changes are needed.

Step 5: After Approval

Once approved:

  • Your listing goes live on HeritageWeb.com

  • Heritage Web staff assign your listing to relevant community publications based on your Industries, Languages, and Community Connections

  • The Publications tab populates with your assigned publications and visibility controls

  • You can start receiving leads (if your matching criteria align with incoming requests)

Important Notes

  • Name and Bio are required—you cannot submit without completing both fields in the Name & Bio tab

  • Profile Photo must be a personal headshot—logos, stock photos, group photos, or AI-generated images will be rejected

  • Licenses are verified during review against official databases—ensure your license numbers are accurate

  • Business names in the Name field cause rejection—use your personal name only (e.g., "Sarah Johnson" not "Johnson Law Firm")

  • Editing after approval creates a new "Pending" version while your current approved version stays live for visitors

FAQs

What happens if my listing is rejected? You'll receive an email explaining the specific issue. Common reasons include: logo instead of personal photo, invalid license information, or business name in the Name field. Fix the issue and click Publish Draft again.

Can I edit my listing while it's pending review? Yes. Continue making changes and click Publish Draft again. Your new changes replace the previous pending submission, and only the most recent version is reviewed.

How do I know my listing was approved? You'll receive an email confirmation. Your Publishing Status in the header will show "● Published" in green, and the Publications tab will display your assigned publications.

What if I need to make changes after approval? Edit your Profile and click Publish Draft. A new pending version enters the review queue while your current approved version stays live. Once approved, the new version replaces the old one seamlessly.

How long until my listing appears on community publications? After approval, staff manually assign your listing to relevant publications. This typically happens within the same review process, but propagation across all sites may take a short time.
