How to submit your Job listing for approval—including required fields, what reviewers check, and what to expect after submission.

Click Publish Draft in the header area of your Job listing edit page to submit for review. Your listing must include Job Title, Description, Apply URL, and at least one Industry. Approval typically takes 1 business day for Sponsor listings or 2-3 business days for Free listings.

Overview

Before your Job listing appears on Heritage Web publications, our team reviews it to ensure quality, legitimacy, and fair employment compliance. We verify that job details are complete, the Apply URL works, and the description doesn't contain discriminatory language. After approval, your Job is assigned to relevant publications for 90 days.

Step-by-Step Instructions

Step 1: Complete Required Fields

Before submitting, ensure you've completed all four required fields:

Step 2: Review Your Information

  1. Check the Job Details tab for industries, employment type, and salary accuracy

  2. Review the Name & Overview tab for spelling, completeness, and compliance

  3. Test your Apply URL to ensure it leads to a working application page

  4. Verify the Locations tab if you've added work location information

  5. Click Preview in the header area to see how your listing will appear publicly

Step 3: Submit for Review

  1. Look for the Publish Draft button in the header area at the top of the page

  2. If you have unsaved changes, you'll see "Unpublished changes in draft" indicator

  3. Click Publish Draft to submit

  4. Your listing status changes to Pending Review

After Approval

Once approved:

  • Your Job goes live on HeritageWeb.com

  • Heritage Web staff assign your Job to relevant community publications based on your Industries, Languages, and Community Connections

  • The Publications tab populates with your assigned publications and visibility controls

  • The Publishing Status shows "● Published" in green

  • Candidates can find your listing and click Apply to visit your application URL

  • Your listing remains active for 90 days

  • You can continue editing while pending—changes save to your draft and will be included in the review

  • Your draft saves automatically as you work

  • Test your Apply URL before submitting—broken links are a common rejection reason

  • Jobs are active for 90 days—plan accordingly for your hiring timeline

  • Editing after approval creates a new pending version while your current approved version stays live

FAQs

How long does review take? Sponsor listings are typically reviewed within 1 business day. Free listings take 2-3 business days.

Can I edit my listing while it's pending? Yes. Changes save to your draft and will be included in the review. Click Publish Draft again to ensure your latest changes are submitted.

What happens if I'm rejected? You'll receive an email explaining what needs to be fixed. Common issues include Apply URL problems or job description concerns. Make the changes and click Publish Draft again to resubmit.

Will I be notified when approved? Yes. You'll receive an email confirmation when your listing goes live, and your Publishing Status will change to "● Published" in green.

What if I need to make changes after approval? Edit your Job and click Publish Draft. A new pending version enters the review queue while your current approved version stays live. Once approved, the new version replaces the old one.

How do I know which publications my Job will appear on? After approval, check the Publications tab to see all assigned publications. Staff assign publications based on your Industries, Languages, and Community Connections.

What if my Apply URL changes? Edit your Job listing with the new URL and click Publish Draft. The change will go through review to ensure the new link works.
