Configuring Email and SMS Notification Recipients

Add email addresses and phone numbers to receive notifications when someone contacts you through your listing. All listings can add unlimited email recipients for free. Sponsor listings can also add SMS recipients to receive text message alerts for time-sensitive notifications like new leads.

Overview

Notification Settings let you control who receives alerts about your listing activity—including direct messages, paid leads, pro bono leads, and billing updates. You can add team members, assistants, or partners as recipients so the right people are notified immediately. Each recipient must verify their email or phone number before receiving notifications.

Step-by-Step Instructions

Step 1: Access Notification Settings

  1. Log into your Heritage Web dashboard

  2. Click My Profile in the left navigation

  3. Scroll to the bottom of your Edit Profile page

  4. Locate the Notification Settings section (below Direct Messages)

  5. Click to expand the section

Step 2: Add Email Recipients

  1. Find the Email Recipients area

  2. Your account email is automatically included and cannot be removed

  3. Click Add Email to add additional recipients

  4. Enter the email address

  5. Click Save

  6. The system sends a verification email to that address

  7. Recipient must click the verification link to activate notifications

You can add unlimited email recipients on both free and sponsor listings.

Step 3: Add SMS Recipients (Sponsor Only)

  1. Find the SMS Recipients area

  2. Click Add Phone Number

  3. Enter the mobile phone number

  4. Click Save

  5. The system sends a verification code via text message

  6. Enter the code to verify the number

  1. Locate each notification category

  2. Toggle ON or OFF for email notifications

  3. Toggle ON or OFF for SMS notifications (sponsor only)

Note: Listing Management and Billing notifications cannot be disabled for email—these contain critical account information.

Step 5: Verify All Recipients

  1. Check the status indicator next to each recipient

  2. Verified (green) = Active and receiving notifications

  3. Pending = Awaiting verification

  4. Resend verification if needed by clicking Resend

Step 6: Save Your Changes

  1. Review your recipients and notification preferences

  2. Click Publish Draft at the top of the page

  3. Changes take effect after approval

Important Notes

  • Recipients must verify their email or phone before receiving any notifications

  • Your account email is always included and cannot be removed

  • SMS notifications require a sponsor listing

  • All verified recipients receive the same notifications—you cannot customize per recipient

  • Notifications are sent immediately when triggered

FAQs

Can I add my assistant's email to receive lead notifications? Yes. Add their email address, have them verify it, and they'll receive the same notifications you do.

Why am I not receiving SMS notifications? SMS is a sponsor-only feature. If you have a sponsor listing, verify that your phone number shows as "Verified" and that SMS is toggled ON for the notification types you want.

Is there a limit to how many email recipients I can add? No. You can add unlimited email recipients on both free and sponsor listings.

Can I have different people receive different notification types? Not currently. All verified recipients receive the same notifications based on your toggle settings.

What's the cost for SMS notifications? The first phone number is $5/month. Additional numbers are $2/month, and this cost is shared if you reuse the number across multiple listings.
