What Happens If Your 501(c)(3) Status Changes

Quick Answer

If your 501(c)(3) license status changes to expired, suspended, or revoked in Heritage Web's Licenses & Certifications system, your donation capability is automatically suspended. The Donate button is removed from all publications and you'll receive an email notification.

How the License Cascade Works

Automatic Suspension

Heritage Web monitors your 501(c)(3) license status. When the system detects that your license status has changed away from Active (for example, due to expiration or administrative action), the following happens automatically:

  1. Your donation feature status changes from Approved to Revoked.

  2. The Donate button is removed from all publications.

  3. You receive a "Donations Suspended" email notification explaining the reason.

  4. The status change is logged in your listing's audit history.

Routine Re-Verification (No Impact)

When you renew your 501(c)(3) license, the verification status may temporarily reset to Unverified while Heritage Web re-verifies it. This does not suspend your donations, as long as the license status remains Active. Only a change away from Active triggers suspension.

How to Restore Donations

  1. Resolve the license issue — renew your 501(c)(3) status with the IRS if expired, or address any compliance concerns.

  2. Update your license in Dashboard → Edit Organization → Organization Details → Licenses & Certifications.

  3. Wait for Heritage Web to re-verify your updated license.

  4. Once verified and active, contact Heritage Web support or submit a new donation feature request to have your donation capability restored.

Important Notes

This is automatic. Heritage Web does not manually suspend donations due to license changes — the system handles it automatically to protect donors.

Keep your credentials current. The best way to avoid interruption is to renew your 501(c)(3) status before it expires and keep your Heritage Web listing updated.

Existing recurring donations continue through Stripe. Even after suspension, any active recurring subscriptions already set up by donors continue processing through Stripe until the donor cancels. Suspension prevents new donations only.
