Quick Answer
Event listings expire automatically after the event's end date passes. Once expired, your Event is removed from public publications and the Private Message button is disabled. You can still access the listing in your dashboard, view past conversations, and use it as a template for future events.
Overview
Unlike Profile and Organization listings that remain active indefinitely, Event listings are time-limited by design. This keeps Heritage Web publications current and relevant, showing only upcoming events to potential attendees.
How Expiration Works
Timing | What Happens |
Before event date | Listing is visible on all assigned publications |
Event end date passes | Listing automatically expires |
After expiration | Listing removed from public view; Private Messages disabled |
What Triggers Expiration
Your Event listing expires based on the End Date in your Events Schedule:
Single-day events: Expires after that day ends (midnight in the event's timezone)
Multi-day events: Expires after the final End Date
All-day events: Expires at the end of the specified date
Example: An event scheduled for March 15, 2025 from 9:00 AM to 5:00 PM will expire after 5:00 PM on March 15, 2025 (in the event's timezone).

Creating Recurring Events
Heritage Web doesn't automatically renew or repeat Event listings. For recurring events, you have two options:
Option 1: Create a New Listing
Go to Events in your dashboard
Click + Free Event Listing
Enter all details for the new occurrence
Option 2: Duplicate an Expired Listing
Find your expired Event in the dashboard
Use it as a reference to create a new Event
Update the dates, description, and any other changed details
Important Notes
Expiration is automatic—no action required from you
You cannot prevent expiration—it's based on your event date
Existing conversations remain—you can still read and reference past messages
Expired listings don't count against limits—create new events freely
Event data is preserved—useful for reference or creating similar events
FAQs
Can I extend my Event listing to keep it visible longer? No. Event listings are tied to the actual event date. If your event date changes, edit the listing and update the Events Schedule (changes go through re-review).
What if I need to postpone my event? Edit your Event listing with the new dates and click Publish Draft. The updated listing will go through review. Your current listing stays visible until the new version is approved.
Can I reactivate an expired Event? No. Once expired, the listing cannot be reactivated. Create a new Event listing for future occurrences.
Will attendees who messaged me still be able to contact me? Existing conversations remain in your Messages inbox, but the public Private Message button on your expired Event is disabled. Attendees cannot initiate new conversations through the expired listing.
How long are expired Events kept in my dashboard? Expired Events remain visible in your dashboard indefinitely. You can use them for reference or as templates for creating new events.
What if my event was canceled? If you no longer want the Event visible, you can use the Publishing Status control to pause it (removes from publications immediately) or delete it entirely from your dashboard.
Do I get charged for expired Events? No. Once expired, Sponsor Event subscriptions end automatically. You're only charged during the active promotional period leading up to your event.
