What to do when you've hired for a job listing

When you fill a position, pause the job listing by clicking "Pause Listing" in the Publications tab. This immediately removes the posting from all publications so candidates stop applying. Your listing data remains available if you need to hire for the same role later.

Step-by-Step Instructions

Step 1: Pause the Listing

  1. Go to your Dashboard and open the job listing

  2. Click the Publications tab

  3. Click Pause Listing next to Publishing Status

  4. The listing is immediately hidden from all publications

Step 2: Confirm Status Change

  1. Verify Publishing Status shows "● Paused"

  2. Your listing no longer appears in search results or publications

  3. Candidates can no longer view or apply

Step 3: Decide on Long-Term Action

  • Keep paused: If you might hire again for this role

  • Let expire: If you won't need the listing again

  • Request deletion: Contact support via chat bubble for complete removal

Reusing a Filled Position Listing

If you need to hire for the same role later:

  1. Navigate to the paused listing

  2. Review and update any outdated information

  3. Click Unpause Listing

  4. The listing becomes active again (may require renewal if expired)

Important Notes

  • Pausing is instant—candidates see the change immediately

  • Your hiring organization information and job details are preserved

  • Consider pausing promptly to avoid receiving applications for filled positions

  • Paused listings don't count against any listing limits

FAQs

Should I notify Heritage Web when I fill a position? No notification required. Simply pause the listing yourself through the Publications tab.

What happens to candidates who already applied? Applications submitted through your external system (the Job Website/Application URL) are handled by your recruitment process, not Heritage Web.

Can I mark a position as "Filled" instead of pausing? Currently, the recommended approach is to pause the listing. There's no separate "filled" status.

If I hire someone but they don't work out, can I quickly reactivate? Yes. Unpause the listing at any time. If it's expired, you can renew it to restart the 90-day period.
