Editing Approved Listings (The Pending Version)

When you edit an approved listing, Heritage Web creates a "pending version" that goes through review while your current approved version stays live. Your listing continues receiving leads and remains visible to the public during the review process — there's no service interruption.

Overview

Any edit to an approved listing triggers our review process to maintain quality and accuracy across the network. The pending version system ensures your business continues uninterrupted while changes are being reviewed. This applies to all listing types: Profile, Organization, Event, and Job listings.

Step-by-Step Instructions

Step 1: Access Your Approved Listing

  1. Log into your Heritage Web dashboard

  2. Navigate to your listing section (Profile, Organizations, Events, or Jobs)

  3. Find your approved listing (shows "Active" status)

  4. Click "Edit" or the listing name

Step 2: Make Your Changes

  1. Edit any fields you need to update

  2. Add or remove optional sections

  3. Update languages, specialties, or contact information

  4. Upload new images or documents

  5. Your changes auto-save as you work

Step 3: Submit for Review

  1. Click "Publish Draft" or "Submit for Review"

  2. You'll see a confirmation message

  3. Your listing status shows "Pending Review"

  4. The review timer begins (1 business day for sponsors, 2-3 for free)

Step 4: During Review Period

Your current approved version:

  • Remains live on all publications

  • Continues receiving matched leads

  • Stays fully functional for visitors

  • Shows no indication of pending changes

Step 5: After Review

If approved:

  • Pending version becomes the new live version

  • You receive an approval email

  • Status returns to "Active"

  • Changes are now public

If rejected:

  • Current version remains live

  • You receive specific rejection reasons

  • Make corrections to the pending version

  • Resubmit for review

Important Notes

  • ANY edit triggers review — even small changes require approval

  • Current version stays live — no downtime during review

  • Can edit pending version — continue making changes before approval

  • One pending version only — new edits replace the previous pending version

  • Team members can edit — Content Managers and Admins have full editing rights

Q: Will my listing disappear while changes are being reviewed? A: No. Your current approved version remains completely visible and functional. Visitors see no indication that changes are pending.

Q: Can I make additional edits while my listing is already under review? A: Yes. You can continue editing the pending version. New changes will replace the previous pending version and restart the review process.

Q: What if I need to make an urgent change? A: Sponsor listings are reviewed within 1 business day. For urgent situations, contact [email protected] after submitting your changes.

Q: Can my team members edit pending versions? A: Yes. Team members with Content Manager or Admin roles can fully edit listings, including pending versions, just like the account owner.

Q: What happens if my changes are rejected? A: Your current approved version remains live and unaffected. You'll receive an email explaining what needs to be corrected. Fix the issues in the pending version and resubmit.
